# Why Top Managers Are Scrapping Traditional Schedules in 2025 (Use This Scientifically Backed Method)

**Welcome Superworkers!**

I am CoachSteff and I help ordinary managers grow into high-performing leaders with the power of cognitive agility.

Last week one of my coaching clients, Greta, a highly effective manager, shared a major frustration:

*"I want to stay informed about everything that is going on, so I ensure open communication with my team. But... I am in meetings all day. From one-to-ones to team meetings, it is exhausting and I feel like I am not getting any real work done."*

Although her vision on communication is admirable, she is not managing her time optimally. It frustrates her that she gets nothing substantial done and she feels powerless. Perhaps you recognise this too.

### **The trap of endless meetings**

Have you ever ended a workday completely exhausted, but without having achieved anything meaningful? You are not alone. Yesterday another client, Greta, a CEO, told me something similar:

*"Steff, I am in meetings all day, my inbox is exploding, and I cannot remember the last time I did strategic work."*

This is exactly what neuroscience predicts. Your brain is not made to process deep focus, creativity and endless meetings all mixed together. That is why today I am sharing the scientifically backed method that helped Greta and other top managers transform their planning and increase their performance.

**The science behind your brain rhythm**

The biggest productivity myth? That you can work equally effectively at any time of the day. Recent research by the Netherlands Institute for Neuroscience shows that your brain has predictable performance rhythms. Most managers plan their most important work exactly at the times when their brain is least suited for it.

Compare your brain to a sports car. You do not use a Ferrari to deliver groceries, do you? This is what scientists say about the three main networks of your brain:

- **Your thinking brain** → complex decisions and creative solutions
- **Your reflex brain** → routine work and automatic actions
- **Your archiving brain** → processing and storing information during rest

The crucial discovery? Your thinking brain, the part responsible for your most valuable work, can only focus on one thing at a time. This is not advice, but a biological fact.

**The hidden costs of your current work pattern**

Research shows that the average professional is interrupted every **2 minutes**. And to get fully focused again, you need **23 minutes**.

For comparison:

- 30 minutes of uninterrupted work is 3x more effective than three blocks of 10 minutes
- For complex tasks, fragmented work can lower your productivity by up to **4x**
- Multitasking reduces productivity by **40%**

**The planning method that changes everything**

Companies that understand how the brain works are completely restructuring their workday. This is the scientifically backed approach that successful managers use:

### **1. Deep work block (Before 12:00)**

Your prefrontal cortex, responsible for analytical thinking, peaks in the morning. Research shows that cognitive performance is up to **26% higher** then. Top managers protect these golden hours by:

- Reserving the first 2 to 3 hours for strategic work
- Turning off all notifications
- Postponing emails and meetings
- Focusing on complex analyses and decision-making

But this is where things often go wrong: many managers fill their mornings with emails and status meetings. That is like using a Ferrari to do groceries!

### **2. Collaboration block (12:00 - 15:00)**

After lunch, your brain naturally shifts to social interaction. Smart managers use this window for:

- Team alignment
- Client meetings
- Problem solving
- Batch processing of emails

**Pro tip:** Use this auto-reply to streamline your email management:

*"Thank you for your message. I process emails daily at 14:00 to stay focused on strategic priorities. For urgent matters, please contact [assistant] on [number]."*

### **3. Innovation block (15:00 - 17:00)**

Harvard research shows that as analytical focus decreases, **creative ideas actually increase**. Forward-thinking managers use this for:

- Strategy development
- Trend analysis
- Brainstorming sessions
- Training and development

**Meetings reinvented**

According to science, meetings must meet three criteria:

- Is synchronous consultation really necessary?
- Does it contribute to the quarterly goals?
- Does it fit within the team's energy cycles?

Companies are implementing:

- **Meeting-free mornings** (until 11:00)
- **AI tools** to protect focus blocks
- **Asynchronous alternatives** for informative meetings

**Proven results**

- A Fortune 100 tech company increased strategic project completion by **40%**
- A CEO of a regional bank reduced meeting time by **60%**, while teams became more satisfied
- A global consultancy firm increased creative output by **32%**

**Your action plan for tomorrow**

- Look at your calendar and block mornings (until 11:00) for deep work
- Schedule your other peak performance moments strategically
- Implement the email management I shared (with a booking link for afternoon meetings)
- Evaluate next week and adjust where necessary

**Your experience counts!**

What is your biggest challenge in time management? Share it in the comments, I read everything and am curious about your insights.

**Remember:** The future of work is not about working harder, but about working smarter. Use the natural rhythms of your brain and make strategic use of AI tools to work smarter, not harder.

See you in the next episode!
