Let's dive into something I see happening time and time again, teams and professionals investing in flashy, expensive AI tools, only to let them gather dust.

Honestly, it is not even the fault of the tools. The real problem? How they are set up, or rather, how they are not properly integrated into daily work processes.

### The AI tool trap

I worked with a team that spent thousands of euros on premium AI licences. You would think this would revolutionise their workflow, right? But a few months later, how often were those tools actually used? Almost never. Why? Because nobody really knew how they fit into their daily tasks.

The first big mistake I often see is starting with tools that are simply too complex. It is like trying to revamp everything at once, building advanced AI systems while nobody is comfortable using simple templates yet. That is overwhelming and, quite frankly, a recipe for failure.

And then you have the opposite problem, underutilisation. This happens when AI tools are purchased as some sort of flashy new gadget, but nobody is actually trained to use them. The team just assumes that these tools will explain themselves.

**Spoiler alert:** they do not. If your team does not know how to work with them, or if they only use one small feature, it is basically wasted money.

Let me share something personal. I have been guilty of this myself. There was a time when I invested heavily in all sorts of advanced automation tools, hoping they would magically improve my productivity. But because I did not spend enough time actually applying them in my workflow, they eventually ended up on the shelf.

Thousands of euros, gone, just like that. And believe me, that hurts. But through trial and error I have learned what really works.

### How do you recognise the warning signs?

If your team feels overwhelmed by too many features and has no clear starting point, that is a sign. Or if your tools remain unused for weeks, you know the feeling, "Oh, we will pick that up later", then that is a warning that something is not right.

### Go slowly to move forward faster

Let's talk about where to begin, because **starting small is actually the fastest way to see results.** The goal here is to achieve quick wins. And by that I mean finding small tasks that, if you do them time and time again, save time and effort.

Think of drafting emails, summarising meetings, or creating routine document templates. Nothing special, just the things you already do on a daily basis.

The key is choosing tasks that are impactful yet manageable. Like automating email follow-ups that take ten minutes too long, for example. Or generating quick summaries for meeting notes, so your team does not have to sift through endless threads.

Even small changes can already free up a lot of mental space.

And, **and this is something I really love,** do not do this alone. Work together with a learning buddy. I call this the **Pair Learning System.**

It is simple but highly effective. You spend fifteen minutes learning something new, for example how to use a specific AI tool. And then, you guessed it, you spend another fifteen minutes explaining it to someone else.

I do this myself too! I have two or three people with whom I do regular check-ins. We share ideas, test things out and discuss what works. It keeps everything practical, and believe me, sometimes they see things that I completely overlook.

Imagine you work in a small team. One person practises with AI to draft contracts faster, while another focuses on better meeting summaries. After half an hour you share insights. By the end of the session everyone has moved forward, simply because you combine knowledge.

### Iterative feedback loops

Another important layer: **Iterative Feedback Loops.**

It might sound technical, but it is simply building in moments to reflect and make adjustments.

These can be daily five-minute check-ins where you ask questions like:

- "Am I really saving time with this?"
- "What is frustrating?"
- "What works well?"

And then you zoom out weekly or fortnightly for a larger evaluation. You celebrate successes, track goals, and adjust the strategy.

You would be amazed how small course corrections keep you on the right path in the long run. Think of it as steering a ship, small movements can yield huge results.

### Achieving EPIC results

Now everything comes together, the **EPIC** strategy. This system helps make AI **truly useful** instead of a fancy add-on that nobody uses.

Let's look at it step by step:

- **E** - **Everyday Tasks First.** Start with the most common, repetitive tasks and add AI to them. Think of drafting emails faster or making simple summaries. Small upgrades, big savings.
- **P** - **Pair Learning System.** The 15/15 method: 15 minutes learning something new, 15 minutes explaining it to someone else. By teaching, you learn faster and build momentum.
- **I** - **Iterative Feedback Loops.** Daily short reflections and weekly evaluations to check if AI is truly adding value.
- **C** - **Continuous Improvement.** Create an AI playbook for your team: which tools work, which workflows improve the most? And do not forget to share successes, no matter how small.

This is not just a method; it is a rhythm. A way to make AI fit effortlessly into your daily work.

### Your EPIC next step

Let's take a moment to reflect on what we have discussed today.

From avoiding expensive, underutilised AI tools to adopting the EPIC method, you now have a roadmap to integrate AI **effectively** into your work.

It is not about investing more, but about **investing smarter.**

Start with daily tasks, do it together with a learning buddy, and keep refining everything with feedback loops. And do not forget to celebrate your successes, no matter how small. Because progress is not just about efficiency, but also about appreciating how far you have come.

On that note, until next time. Take good care of yourself!
